Campus Life Westmont Activities Council Common Application Information

Overview

The Westmont Activities Council (WAC) serves the Westmont Community by planning and implementing co-curricular events and programs that support the mission of the college and the educational priorities of Student Life.  WAC also supports and sponsors student clubs on campus.

The WAC Team works under the guidance and direction of the Associate Director of Campus Life to program approximately 10-12 all-campus events each semester.  This requires frequent night and weekend commitments.  Examples of programs and events include focus weeks, after hours events, dances, movies, concerts, educational speakers, current event round tables, etc.

 

Director (12-15 Hours/Week)

  • Provide guidance and assist fellow WAC members and club presidents with event planning and WAC operations
  • Arrive three days prior to the start of Student Leader Training in order to prepare for Student Leader Training, and the year ahead, in conjunction with the Associate Director of Campus Life.
  • Lead weekly WAC meetings when the Associate Director of Campus Life is not available
  • Meet weekly with the Associate Director of Campus Life
  • Write WCSA funding proposals as necessary
  • Coordinate WAC volunteer board,
  • Manage the WAC “borrow board”
  • Respond to wac@westmont.edu emails in a timely manner
  • Serve on the WAC Budget Committee in April (upon being hired and again during year of service) and Club Bonus Funding (December)
  • Assist with administrative duties as assigned by the Associate Director of Campus Life
  • Responsible for office organization
  • Assist in set-up, implementation, and tear down of WAC events.  Work before, during and after all events: setup, collecting tickets, event maintenance, addressing policy violations (sneaking in, alcohol issues, etc.), cleanup, etc.
  • Maintain a minimum of six office hours (during business hours) each week in the WAC office
  • Attend weekly WAC staff meetings
  • Serve as point person for multiple all-campus events each semester
  • Serve as point person for Orientation event (typically the Line Dance)
  • Have no outside work commitments above ten hours per week
  • Maintain regular communication with the student body through aggressive and imaginative advertising to keep them abreast of campus events and WAC activities through the year.
  • Keep detailed and accurate records of all event planning.  Work with the WAC Team to ensure all event folders and documentation are in a state of readiness for the following year.
  • Serve as Spring Sing stagehand volunteer when not performing in a dorm skit and/or side act
  • Attend weekend WAC retreat during the fall semester

Publicity Coordinator (9-11 Hours/Week)

  • Assist with promotion and publicity of all WAC events.
  • Serve as an advertising resource for clubs
  • Produce and implement timely advertising for the following (but not limited to) avenues: posters, DC Screen, Chapel Slides, Student Life Facebook, WAC Instagram, kiosk, etc.
  • Meet individually with event planners far in advance of their respective event in order to develop an advertising plan
  • Maintain regular communication with the student body through aggressive and imaginative advertising to keep them abreast of campus events and WAC activities through the year.
  • Assist in set-up, implementation, and tear down of WAC events.  Work before, during and after all events: set up, collecting tickets, event maintenance, addressing policy violations (sneaking in, alcohol issues, etc.) & cleanup
  • Maintain a minimum of four office hours (during business hours) each week in the WAC office
  • Attend weekly WAC staff meetings
  • Serve as point person for one all-campus event each semester
  • Meet every other week with the Associate Director of Campus Life on an individual basis
  • Keep detailed and accurate records of all event planning
  • Serve as Spring Sing stagehand volunteer when not performing in a dorm skit and/or side act
  • Attend weekend WAC retreat during the fall semester

Event Coordinator (8-10 Hours/Week)

  • Assist in set-up, implementation, and tear down of WAC events.  Work before, during and after all events: setup, collecting tickets, event maintenance, addressing policy violations (sneaking in, alcohol issues, etc.), cleanup, etc.
  • Maintain a minimum of three (3) office hours (during business hours) each week in the WAC office
  • Attend weekly WAC staff meetings
  • Serve as point person for multiple all-campus events each semester
  • Attend bi-monthly Leadership Lunch (Every other Tuesday 12pm-1pm)
  • Attend Student Leader Training – Mid-August
  • Meet every other week with the Associate Director of Campus Life on an individual basis
  • Maintain regular communication with the student body through aggressive and imaginative advertising to keep them abreast of campus events and WAC activities through the year.
  • Keep detailed and accurate records of all event planning
  • Serve as Spring Sing stagehand volunteer when not performing in a dorm skit and/or side act
  • Attend weekend WAC retreat during the fall semester

Clubs Coordinator (9-11 Hours/Week)

  • Administer and oversee the club application process
    • Upon being hired, assist the preceding Clubs Coordinator in the Spring club chartering process for the following academic year
    • Administer the Fall club chartering process mid Fall semester
  • Plan and lead club officer informational meetings at the beginning of each semester
  • Provide primary support for clubs: includes reviewing funding requests, room reservations, event support, and general support
  • Keep clubs’ website updated with club list and photos
  • Submit club reimbursements in a timely manner (Vendorlink)
  • Serve on the WAC Budget Committee in April (upon being hired and again during year of service) and Club Bonus Funding (December)
  • Respond to clubs@westmont.edu emails in a timely manner
  • Assist in set-up, implementation, and tear down of WAC events.  Work before, during and after select events: set up, collecting tickets, event maintenance, addressing policy violations (sneaking in, alcohol issues, etc.) & cleanup
  • Maintain a minimum of five office hours (during business hours) each week in the WAC office
  • Attend weekly WAC staff meetings
  • Serve as point person for the fall community picnic
  • Serve as point person for the spring “Cupcakes and Clubs” event
  • Meet every other week with the Associate Director of Campus Life on an individual basis
  • Maintain regular communication with the student body through imaginative advertising to keep them abreast of campus events and WAC activities through the year.
  • Keep detailed and accurate records of event planning and club administration
  • Serve as Spring Sing Stagehand volunteer when not performing in a dorm skit and/or side act
  • Attend weekend WAC retreat during the fall semester
